ABOUT THE PEOPLE FUNCTION…
The People function over the last two years has transitioned from a purely HR operational function, to operating more strategically by appointing their first People Director. The People Director has devised and started to implement the people strategy that supports the ambitious business strategy with a strong focus on people and this role plays a vital part within the People Team. The team also provide a global service to all employees across the UK, Australia, Singapore and Canada.
They are now to embark on implementing their first HR system, which is an exciting milestone for them as a team and the new financial year which is all about delivering new and engaging initiatives.
YOUR ROLE…
This is a really exciting position with huge potential to develop your advisory skills as well as playing a key role in supporting people throughout the whole of their lifecycle with the business.
Reporting to the Senior People Business Partner, you will be working on an international basis supporting the business globally and delivering a high level of customer service to internal and external stakeholders.
Your role will be pivotal in the smooth delivery of the operational aspects of the People function and be the first point of contact for any employee queries. You will play a big part in the implementation of a HRIS, which will revolutionise the way the People Team is able to operate and you will be able to be our system champion and be keen to understand the tools functionality and how we can optimise it.
This is a truly generalist role and you will be working across talent acquisition, talent development, HR operations, payroll and reward. You will also have responsibility for ensuring our client’s people are set up for success including arranging IT equipment, managing the IT process for new starters and leavers, office management and booking travel and accommodation.
This role has excellent development potential, as you will not only be trained on current processes but encouraged to develop new ways of working to further improve efficiencies and the service delivery.
Here’s what you’ll be likely doing day to day:
Overseeing the employee lifecycle, including:
Talent Acquisition:
- Supporting the Group People Director and People Partner by posting vacancies externally and scheduling interviews, alongside supporting the processing of candidate applications
- Maintaining the recruitment tracker including candidate talent pools for each role and provide reporting on a regular basis on required metrics
- Supporting hiring managers across the business with talent acquisition activity, including clarifying processes, posting the vacancies externally and short-listing candidates
- Attending interviews for below manager level vacancies to support on culture fit and answer any people related questions
- Preparing offer paperwork and collation of essential documentation
- Supporting the onboarding experience for new hires, ensuring they have a People Team Induction, have the right equipment, tools and access to get started on day 1 and beyond,
- Partnering with hiring managers to ensure probationary goals and comprehensive onboarding plans are in place
- Update any reporting requirements for the Company’s sponsorship licence and ensure compliance to all Right to Work processes (i.e. passport checks, visa expiry), escalating queries where necessary
Engagement:
- Ensuring the office space is engaging and fit for purpose and supporting with general office management tasks
- Ensuring that employees have the right tools and access to fulfil their roles, including stationary, business cards, IT equipment and basic network or IT issues
- Managing the circulation of employee communications
- Managing international payroll to ensure accurate and timely payments are made, in compliance with legal jurisdiction
- Maintaining employee files and ensures all documentation is up to date
- Ensuring processes are legally compliant, including GDPR, payroll, immigration, documentation collation, audit, staff benefits
- Regularly reviewing and maintaining all company documentation including Employee Handbook, procedures and policies including travel and expenses
- Supporting managers (below Head of) on any employee relations, providing advice on a range of matters including performance, absence, maternity and paternity and other types of leave
- Partnering with external providers including payroll, benefits, insurances, recruitment agencies, brokers, IT suppliers
Development:
- Supporting in the identification of development needs
- Scheduling of learning and development initiatives
- Sending out surveys following sessions to collate feedback
- Supporting on the talent management strategy
- Managing and reporting on learning and development data
Retention:
- Conducting exit interviews with below manager level employees to gather insightful data for the business on opportunities to enhance retention within the business
- Generating quarterly HR reports to provide insight to the business, including turnover and make proposals to provide solutions to the business
- Manage all leaver documentation and processing, including payroll, closing down accounts
Operations
- Maintaining database of all employees/contractors – ensuring accuracy and integrity of data and that it is updated regularly
- Maintaining Organisation charts to ensure they are accurate, updated regularly and user-friendly
- Process reference requests for current employees and leavers
- Process any contractual change letters ensuring accuracy
- Standard HR Reporting including turnover, headcount, holiday balances etc
- Maintain holiday booking systemensuring reporting lines are correct
- Support Digital/IT Director to ensure any new systems/technology is implemented on time and all employees are trained. Become a super user on company wide systems (eg 8x8) to resolve queries or signpost to further support
